A bank or POS terminal is almost mandatory in a modern store, cafe, hotel or amusement park. An increasing number of potential customers use mainly bank cards, and the inability to pay by bank transfer may scare them away.

At the same time, the principle of operation of different terminals is approximately the same, and the instructions for use will change slightly depending on the software and technical capabilities.

What are POS terminals?

In fact, POS terminals can be divided into several groups:
  1. By connection type, they can be fixed or mobile. Stationary ones are permanently connected to the power grid and do not work without it. Mobile phones have a fairly large battery, and they connect to the Internet via wi-fi or mobile Internet. Most often, mobile terminals are used by couriers.
  2. By type of acquiring. Retail terminals are installed in shops, cafes or other businesses. They are connected to checkout and work "in tandem" with it. The cashier selects the payment type – the buyer pays for the purchase. You don't need to enter the amount twice. Portable terminals work independently. After paying for a purchase at the terminal, the cashier enters all the data into the cash register and issues a receipt. There is also a third type – Internet terminals. They accept payments in the virtual space (on websites or in social networks).
The procedure for payment or cancellation will be approximately the same for all types of terminals.

How do I use the bank terminal for payment?

Here are two short instructions for terminals connected to checkout and offline ones.

How to use a bank terminal connected to checkout

In this case,:
  1. The seller starts creating a receipt (indicates a list of purchased goods or services), announces the total amount to the buyer, and selects "non-cash payment" in the payment methods.
  2. The payment amount lights up on the terminal's display.
  3. The customer applies the card to the terminal, inserts it or rolls it with a magnetic stripe.
  4. If necessary, the buyer enters the PIN code.
  5. The terminal sends a request to the buyer's bank. If the card is not blocked and there are enough funds in the account, they are blocked on the buyer's card and sent to the seller's bank.
  6. The fiscal accumulator prints two receipts - about the purchase of goods and about the conduct of a banking operation.
An electronic receipt is also generated, which the buyer can receive by email (to do this, scan the QR code on the purchase receipt).

How to use an offline bank card payment terminal

In this case,:
  1. The seller starts the payment mode on the terminal and enters the required amount.
  2. The customer inserts or attaches the card to the terminal.
  3. The terminal sends a request to the bank. If the card is not blocked and there is enough money in the account to pay for the purchase – the amount is debited from the buyer's account and transferred to the seller's account.
  4. The terminal prints out the receipt.

After that, the seller knocks out a fiscal check and gives the buyer both a fiscal and a bank check.

How do I make a cancellation at the bank terminal?

This type of operation is required if an error occurred during the payment process (the amount was incorrectly specified, the buyer refused the purchase on the spot, and so on).

Depending on the model of the bank terminal, the operation may differ slightly, but the essence is as follows:
  1. Cancel mode starts on the terminal.
  2. The seller uses the keyboard to enter the receipt number to return funds to the buyer.
  3. The display shows information about the payment. At this stage, the seller is faced with a choice – they can either return the money on the receipt in whole or in part (this is relevant for cases when the client, for example, refused one item in the receipt). For adjustments, there are special buttons that are specific to individual terminal models.
  4. When the amount is adjusted (or the refund is complete), the seller clicks OK on the terminal. The amount is returned to the buyer's account, and the sale is canceled.
  5. The machine issues a receipt in two copies. Both the seller and the buyer sign both receipts. One is given to the buyer, and the other must be kept by the seller for further reporting.
What other functions does the bank terminal have? In addition to payment and refund, reconciliation of totals and closing the cash shift are also important.

Bank terminal: instructions for checking and closing shifts

Reconciliation of results is performed daily. At the same time, the payment data on the terminal is compared with the data in the bank.

To perform reconciliation, you need to:
  1. Go to the administrative menu (a separate button specific for different terminal models is responsible for this).
  2. In the list, select the item "Reconciliation of totals" and click OK.
  3. The printer prints out a receipt with the data.
Note that you can check the results several times a day. It will only be mandatory when the cash register shift is closed.

To close a shift:
  1. Open the administrative menu.
  2. Select "Close shift" from the drop-down list.
  3. The printer issues a receipt with a report. It must be stored for reporting purposes.
Most modern models have the option to set an automatic time for closing a shift.

Where can I find out the exact instructions of your bank card terminal?

If you find it difficult to work with your new POS terminal, please refer to the instructions included in the package. It will describe the sequence of operations, hotkeys, and error codes.

If the instructions don't help, take your time to do something yourself (for example, close a shift or print a reconciliation of totals during the day).

It is good if you purchased your own terminal from a bank. In this case, you can call the support service, and they will give you more detailed advice on all your questions.
